1) About StepWise

Who we are. Stepwise Consulting (“Stepwise”, “we”, “our”, “us”) is a recruitment and staffing company helping businesses find the right talent, faster. This notice applies to interactions via our website, email, phone, social pages, job boards, career portals, and events.

What laws apply. We process personal data in accordance with applicable laws . If you are located outside India, local laws of your region may also apply.

2) Website Visitor

What we collect.
When you visit our website or interact with our content, we may collect:

  • Device & usage data: IP address, browser type/version, OS, pages viewed, time spent, referring URL, and general geolocation (city/region level).

  • Cookie & tracking data: First-party cookies for core functionality and analytics; third-party pixels/tags used for aggregated insights and performance measurement.

  • Contact data you submit: Name, email, phone, company, job title, and any message you provide via forms or chat widgets.

3) Talent (Candidates & Job applicants)

What we collect.

  • Identity & contact: name, email, phone, city, LinkedIn/profile URLs.

  • Resume/CV data: work history, education, skills, certifications, projects, portfolio, salary expectations, notice period, relocation preferences.

  • Screening & assessment data: interview notes, assignment results, references (where provided), background-verification outcomes (where permitted and applicable).

  • Diversity or sensitive data: generally not required. If local law or client role requires certain verifications (e.g., government ID, eligibility to work), we will inform you of the necessity and legal basis before processing.

  • Source data: how we found you (direct application, referral, job board, social media, recruitment partners).

Why we use it (purposes).

  • Match you to suitable roles and share your profile with prospective clients (with appropriate notice/consent as required).

  • Communicate about openings, interviews, assessments, and feedback.

  • Maintain a talent pipeline for future opportunities relevant to your skills.

  • Comply with legal/regulatory requirements and client diligence needs.

  • Improve our hiring processes and candidate experience.

Legal bases.

  • Legitimate interests: recruitment activities, role matching, business operations.

  • Consent: where required before sharing your profile with specific clients or for optional marketing updates.

  • Contract: to take steps at your request (applications, interviews).

  • Legal obligation: statutory compliance, record-keeping.

Sharing.

  • With clients (prospective employers) for positions relevant to your profile.

  • With service providers: background verification (where lawful), skills testing, cloud hosting, applicant tracking systems, communication tools—bound by confidentiality/data protection terms.

  • Legal authorities: if required by law or to establish/exercise/defend legal claims.

Retention.

  • Candidate records are typically retained while your profile remains active for opportunities, then archived or deleted per our retention schedule, or earlier upon your request unless law permits/obliges longer storage (e.g., dispute resolution).

Your choices.

  • You can update your resume/profile shared with us.

  • You can opt out of job alerts/marketing at any time.

  • You can request deletion (subject to lawful exceptions).

4) Contract/Temporary worker

(If you engage with Stepwise as a contractor/temporary worker through us or our partners.)

What we collect (in addition to candidate data).

  • Engagement data: assignment details, manager/contact at client, start/end dates, timesheets, attendance, project deliverables.

  • Compliance & payroll data (where applicable): bank details, PAN or other tax details, statutory forms, emergency contact, address proofs, eligibility to work.

Why we use it.

  • To onboard you, manage your assignment, process payments (where applicable), administer benefits (if any), ensure compliance with laws and client requirements, and support health & safety.

Legal bases.

  • Contract: perform our agreement with you.

  • Legal obligation: tax, payroll, labour law compliance.

  • Legitimate interests: assignment management, security, fraud prevention.

Sharing.

  • With client (assignment management).

  • With statutory authorities and financial institutions (as mandated).

  • With vendors supporting payroll, compliance, IT systems—under appropriate safeguards.

Retention.

  • As required by law for payroll/tax/employment records, and for a reasonable period thereafter for audit or legal claims.

5) Client (Employers & Hiring managers)

What we collect.

  • Business contact details: name, email, phone, designation, company, location.

  • Engagement details: role descriptions, hiring preferences, budget/salary ranges, interview feedback, contract terms, invoices, and communications.

Why we use it.

  • Provide recruitment and staffing services; propose and finalize candidates; manage accounts, contracts, billing; deliver reporting and compliance support; improve service quality.

Legal bases.

  • Contract: to deliver services to your organization.

  • Legitimate interests: relationship management, service improvement, marketing B2B insights (where permitted).

  • Legal obligation: tax and accounting compliance.

Sharing.

  • With candidates (limited role information), and with service providers supporting CRM, billing, e-signature, cloud hosting.

  • With authorities where required by law.

Retention.

  • Client records retained for the duration of the relationship and for a reasonable period thereafter for accounting, tax, and legal purposes.

6) Data subject rights

Subject to applicable law, you may have the right to:

  • Access your personal data and obtain a copy.

  • Rectify inaccurate or incomplete data.

  • Erase personal data (right to be forgotten) where applicable.

  • Restrict or object to certain processing (e.g., direct marketing).

  • Data portability where technically feasible.

  • Withdraw consent at any time where processing is based on consent.

  • Complaint: You may lodge a complaint with the appropriate data protection authority in your jurisdiction, or contact our grievance officer first so we can help.

How to exercise. Email us at info@stepwiseconsulting.in with “Privacy Request” in the subject, describing your request and the context in which you interacted with us. We may need to verify your identity before fulfilling requests.

Our services are intended for adults and are not directed to children. We do not knowingly collect data from individuals under the age required by local law for employment-related processing. If you believe a minor has provided data, contact us so we can delete it promptly.
